What we do with the information you give us when you ask for a quote or get in touch, and the rights you have over it.

This policy explains what personal information Bournemouth Roofing & Building collects through this website, why we collect it, how long we keep it, and what you can do about it. We have written it in plain English rather than legal language. If anything is unclear, please ask us and we will explain.

1. Who we are

Bournemouth Roofing & Building is a trading name of Bournemouth Roofing & Building Ltd Ltd, a private limited company registered in England and Wales, company number 15471719, registered office Flat 15 Grosvenor Court, Vale Road, Bournemouth, England, BH1 3TA. We are a building and roofing business working across Bournemouth, Poole, Christchurch, Wimborne, Ferndown, Ringwood and Verwood.

For the purposes of UK data protection law, Bournemouth Roofing & Building Ltd is the "data controller" for the personal information described in this policy. That means we decide what is collected and what happens to it.

2. The information we collect

We only ask for what we need to reply to you and price the job properly. When you use the enquiry form or the request a quote form on this website, you give us:

  • Your name, so we know who we are talking to.
  • Your email address, so we can send you a written quote or reply.
  • Your phone number, so we can call you about the job or arrange a site visit.
  • Your property address or postcode, so we know where the work is and whether it is in the area we cover.
  • A description of the job, whatever you choose to tell us in the message box, plus the service you selected.

If you call us or email us directly instead of using the form, we hold whatever you choose to tell us in that call or message.

Please do not send us information about your health, finances, or anything else sensitive through the form. We do not need it and we do not ask for it. If you include it anyway, we will treat it with the same care as the rest of your enquiry and delete it when the enquiry is closed.

We do not collect payment card details through this website. We do not buy contact lists, and we do not use your details for automated decision-making or profiling.

3. How your enquiry reaches us

This is a simple website. It does not have a customer database behind it. When you submit the form, the details are passed straight to us as an email and then live in our email account and, if the job goes ahead, in our job records. Email is not a fully secure method of sending information, so please do not include anything you would not be comfortable sending in a normal email.

4. Why we use it, and our lawful basis

Under the UK GDPR we have to have a lawful basis for using your information. Ours are:

  • Legitimate interests, to read your enquiry, reply to it, arrange a site visit, prepare and send a quote, carry out the work you have asked for, and keep records of jobs we have priced or completed. Our legitimate interest is running a building business and answering the people who contact us. We have considered your interests and we think you would reasonably expect us to use your details this way, because you contacted us and asked us to.
  • Performance of a contract, once you accept a quote, we need your details to do the work, order materials, arrange access and invoice you.
  • Consent, where you have ticked a box to agree to something specific. You can withdraw consent at any time by telling us, and that will not affect anything we did before you withdrew it.
  • Legal obligation, where we have to keep records, for example for tax and accounting purposes, or to comply with health and safety or building regulations requirements.

We do not send marketing emails or texts. If that ever changes, we will ask for your agreement first and every message will have a clear way to opt out.

5. How long we keep it

These are the periods we work to:

  • Enquiries that do not lead to work, kept for up to 12 months, then deleted. This gives us time to follow up if you come back to us, and to answer questions about a quote we gave.
  • Quotes and job records for completed work, kept for 6 years after the job finishes. Building work carries long-tail liability and warranty questions, and we may need the record if a problem comes up later.
  • Invoices and accounting records, kept for at least 6 years, because HMRC requires it.
  • Job photographs, we sometimes photograph work in progress and finished jobs. We do not publish photographs that identify your property, or use them in any marketing, without asking you first.

When a retention period ends, we delete the emails and files or securely destroy the paperwork.

6. Who we share it with

We do not sell your information, we do not rent it out, and we do not pass it to anyone for marketing. In practice the only people who see it are:

  • Our own team, the people who are actually going to quote for or carry out your job.
  • A supplier or specialist needed to do the work, for example a scaffolding firm that needs the address to erect scaffold, a skip company that needs to know where to deliver, or a materials supplier delivering to site. They only get what they need to do that one task.
  • Our email and IT providers, your enquiry sits in our email account, so the company that provides that email service technically processes it on our behalf.
  • Our accountant, for invoices and accounting records only.
  • Anyone we are legally required to give it to, for example HMRC, an insurer handling a claim, a building control officer, or the police or a court where we are obliged to comply.

We expect anyone handling information on our behalf to keep it confidential and use it only for the purpose we gave it to them for.

7. Where your information is held

Your information is held in our email and business accounts. Some of the providers we use to run those accounts may store or back up data outside the UK. Where that happens, we rely on those providers having appropriate safeguards in place, such as UK adequacy regulations or the International Data Transfer Agreement. If you want to know which providers we use, ask us and we will tell you.

8. Cookies and analytics

This website is built as plain HTML. It does not set advertising cookies, it does not track you across other websites, and it does not embed social media tracking pixels. The form on this site works in your browser and does not store anything about you between visits.

Our web host will keep standard server logs (for example IP addresses and the pages requested) for security and to keep the site running. That is normal for any website.

There are two third-party elements on this site that you should know about. The Google Maps embed on our home page loads content from Google, which receives your IP address and browser information when that map loads, and may set cookies. The map is set to load only when you scroll it into view. And when you submit an enquiry form, the details are passed to our form provider, Web3Forms, which forwards them to us by email and does not use them for anything else.

9. Your rights

Under the UK GDPR and the Data Protection Act 2018 you have the right to:

  • Be informed, know what we are doing with your information. That is what this page is for.
  • Access it, ask for a copy of the personal information we hold about you.
  • Have it corrected, ask us to fix anything that is wrong or incomplete.
  • Have it erased, ask us to delete it, where we no longer need it and we are not legally required to keep it.
  • Restrict what we do with it, ask us to pause using it while a query about its accuracy or our use of it is sorted out.
  • Object, object to us using your information on the basis of legitimate interests. Tell us why and we will stop unless we have a compelling reason to continue.
  • Portability, where we are relying on your consent or a contract and the information is handled by automated means, ask for it in a common machine-readable format or ask us to send it to someone else.
  • Withdraw consent, where we relied on your consent, take it back at any time.

To use any of these rights, email admin@bournemouthroofingandbuilding.com or call 07435 839745. We may ask you to confirm who you are before we act, so that we are not handing someone else's details out. It is free, and we will respond within one month. If your request is complicated, we may need up to two further months, but we will tell you and explain why.

10. How to complain

If you are not happy with how we have handled your information, please tell us first. We would rather put it right ourselves.

You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection:

Complaining to the ICO does not cost you anything and does not affect your other legal rights.

11. Changes to this policy

If we change how the website works, or start using a new tool that handles your information, we will update this page and change the date at the top. Please check back if it matters to you.
